Duties
As the Receptionist, your responsibilities will include:
- Front Desk Management:
- Greet visitors warmly and direct them to the appropriate department or person.
- Manage and monitor the phone line, screening and directing calls efficiently.
- Maintain a tidy and professional reception area.
- Sign in visitors and issue temporary building passes when required.
- Communication:
- Deliver information to internal and external contacts via email, phone, and in person.
- Manage incoming and outgoing mail and packages.
- Administrative Support:
- Maintain and order office supplies as needed.
- Organize and maintain the department filing system.
- Assist with scheduling appointments and meeting room bookings.
- Perform various administrative tasks including drafting correspondence, photocopying documents, and responding to inquiries.
- Support for Labour Relations Team:
- Finalize and distribute discipline letters.
- Maintain documentation in both software and paper files.
- Send communications to members and maintain the manager’s on-call schedule.
- Assist in preparation for bargaining by booking meeting rooms and typing minutes.
- Organize catering, materials, and logistics for meetings or training sessions.
- Receive, track, and process timesheets for pay claims.
- Book hotel and travel arrangements as needed.
Requirements
To excel in this position, candidates should possess the following qualifications:
- Education and Experience:
- 2+ years of office or administrative experience, or an equivalent combination of education and experience.
- A diploma in office administration is considered an asset.
- Skills:
- Superior customer service skills with the ability to manage difficult and sensitive situations diplomatically.
- Proficiency in Microsoft 365 products, especially Outlook, Word, and Excel.
- Excellent multitasking abilities in a fast-paced, high-stress environment.
