Administrative Assistant

Responsibilities

As the Administrative Assistant, your key duties will include:

  • Customer Service: Serve as the first point of contact for both internal and external customers. This includes handling phone and in-person inquiries in a friendly and professional manner.
  • Clerical Duties: Perform tasks such as sorting and filing folders, managing vehicle information, and processing paperwork for both incoming and released vehicles.
  • Data Entry: Accurately update and enter new information (vehicle data, registrations, etc.) into electronic systems in a timely manner.
  • Sale Day Support: Assist with sale day activities, including the preparation of necessary documents and paperwork.
  • General Office Tasks: Duties may also include ordering office supplies, distributing mail, processing courier materials, word processing, faxing, photocopying, and more.
  • Process Orders and Assignments: Work on setting up new and maintaining existing records.
  • Data Management: Assist with filtering and organizing data sets using Excel.

This role provides the opportunity to engage with diverse clients and perform various office administration tasks that are essential to the daily operations of the company.

Qualifications

To be considered for the role, candidates must possess the following:

Must-Have Qualifications:

  • Strong Communication Skills: Proficiency in both written and spoken English is essential, as you will frequently handle phone calls and email correspondence.
  • Customer Service Experience: Previous experience working with customers is crucial to ensuring smooth and positive interactions.
  • Basic Excel Proficiency: You should be able to filter and work with data sets within Excel.
  • Reliable Transportation: The ability to commute to the office daily is required.

Nice-to-Have Qualifications:

  • Car Knowledge: Familiarity with vehicles and their components will be an added asset in managing vehicle-related data.
  • Experience with Insurance Companies: Previous experience dealing with insurance companies will be beneficial in this role.
  • Bilingual Skills: Knowledge of languages such as Arabic or French will be a valuable addition, enabling you to assist a broader client base.
