We are seeking a motivated Junior Administrative Assistant to support our office operations. This fast-paced, office-based role provides opportunities for career growth with leading training programs. Key Responsibilities
Office Management
- Work in a fast-paced environment, managing multiple deadlines while communicating with leadership, project managers, staff, and clients.
- Greet and assist clients and visitors in a friendly, professional manner.
- Handle phone calls through MS Teams and direct them appropriately.
- Manage office spaces, including the reception, stationary room, kitchen, and meeting rooms.
- Coordinate office supplies inventory and support client catering needs as needed.
- Maintain key external business relationships and manage deliveries, mail, and couriers.
- Monitor and maintain office equipment and consumables, ensuring maintenance and proper billing documentation.
- Provide general administrative support and assist with onboarding procedures and health and safety walkthroughs.
- Contribute to process improvements to enhance team workflows and efficiency.
Business Team Support
- Produce and format reports, correspondence, and documents using Microsoft Office and Adobe Acrobat.
- Assist project teams with quality system requirements, including document review, filing, and procurement.
- Help monitor staff schedules and resolve conflicts.
- Support office health and safety initiatives and assist in planning meetings and events.
What You Bring to the Team
Qualifications
- 0-3 years of experience in an administrative role (preferred but not required).
- Strong knowledge of Microsoft Office (Word, Excel, PowerPoint, Teams, Outlook) and Adobe Acrobat.
- Effective written and verbal communication skills in English.
- Organizational skills with a keen eye for detail and the ability to prioritize tasks effectively.
- Ability to work independently and as part of a team.
- Proactive with problem-solving skills and the ability to manage changing priorities.
Additional Skills
- Experience in document control (preferred).
- Flexible with work hours and open to overtime when necessary.
- Ability to work effectively in a collaborative and dynamic office environment.
